Creating a Moodle presence

Course Creation Process
Banner Courses

Courses from the authorised course list are imported from Banner and made available to members of teaching staff as part of the End Of Year (EOY) process

Teachers and Course Coordinators correctly defined in Banner will have access to these from within Moodle. New courses are imported to Moodle from Banner and are currently stored by default in the 2015-16 course category. They are periodically moved into departmental categories by WST. For subsequent academic years, the new top-level category e.g.2016-17 will become the default for new courses.

A Moodle course is automatically created for every course offered through the Authorised Course List.

The course will have a full name, short name and course id entry derived from Banner

Navigation

After logging in via the portal, each Moodle user is presented with a homepage containing a personalised list of courses they have access to. This page also includes blocks for navigations and settings. The central column containing their list of courses can be modified, using a course filter that enables the user to hide rarely-used courses and filter by e.g. academic year.

When enrolled in a Moodle course, a user is added to the participant list in order to take part in activities within that course. Once a user has logged in to the portal and navigated to Moodle they will see a list of courses that they are attached to.

  • Course full name e.g. ECON-1117-M01-2015-16 Economics of Sustainability (Greenwich Maritime Campus)
  • Course short name e.g. ECON-1117-M01-2015-16
  • Course ID e.g. 12177.201500-130 (where 12177 is the course registration number, .201500 is the term code for the academic session the course was created in, 130 is the site code for the course)

NB Before populating courses with content, Academic staff are advised to check the Banner entries for their courses to determine (in cases where there is more than one instance of the course e.g. M01, M02 etc.) which instance relates to which part of term, and to ascertain that content is created in the instance of the course that students are registered on.

Where more than one instance of a course exists in an academic year, but all students will be taught using the same materials, courses can be joined together (‘Metalinked’). This is explained in the ‘Metacourses in Moodle’ document, and is a function that can be performed by Course Leaders or Faculty Administrators. This process is also widely used to ensure continued availability of cross-sessional courses.

Non-Banner Courses

Non-Banner courses can be created by administrators who are assigned the ‘Course Creator’ role in Moodle. Faculty Moodle administrators are responsible for creating any non-Banner courses required within their Faculties.
A course request web form is available from HERE which enables Academic staff to request non-Banner courses (including Programme shells). This will be sent to Moodle administrators in the requestor’s Faculty and copied to Web Services for admin purposes.
Required fields are:

  • Name of requestor
  • Email address of requestor
  • Faculty/Department of requestor
  • Full name of course
  • Short name of course
  • Purpose of course (e.g. staff development)
  • Name of person taking responsibility for course (if different from requestor)
  • Category of course (e.g. name of department the course comes under)

Non-Banner courses can also be requested from the Web Services Team by a University department or office with no named Moodle administrator.

Timings

Course creation in Moodle occurs automatically whenever Course Registration Numbers (CRNs) are created for the course in Banner. Non-Banner courses can be created at any time.
